Club Policies

Our club believes in the principles of respect, social responsibility, good sportsmanship, responsible car ownership, and safe vehicle usage, maintenance and repair. We want everyone who participates in our activities and events to have a good time without causing harm or discomfort to others who are also in attendance.

Purpose of the NAEBMS

Excerpt from our Club Constitution

The Purpose of the organization shall be to encourage the proper, safe, and proficient use, maintenance, and restoration of European and British vehicles. This purpose shall be achieved by: 

​

  1. The sponsoring of events promoting the use and appreciation of European and British vehicles.

  2. The collection and dissemination of information with respect to maintenance and restoration of European and British vehicles.

  3. The encouragement of safe and sportsmanlike conduct on public highways.

  4. The support of the organization’s mission through donations to non-profits that share our common interest.

How We Use
Our Funds

All funds raised by our club, including membership dues, registration fees, donations collected at events, and sponsor contributions, are used to cover the costs of operating our club and for event expenses. All members and their families act as volunteers to manage club administrative business and event planning and execution. Any proceeds we have from hosting events or sponsor contributions are used to help support the Automotive Technology Fund at Calhoun Community College and our NAEBMS Sponsored Scholarship with the Calhoun Foundation.

Photography Policy

Please be aware that attendance to and participation in our events indicates your consent for yourself, your family members and your vehicles to be photographed or otherwise filmed. Our club members and their families regularly take photographs and videos at our events for their personal use and the use of our club. These photographs may be used by us (the NAEBMS) for promoting our club, our future events, and our philanthropy, but we will NEVER sell or otherwise seek to obtain a profit from the use of such photographs.

We recognize that we have no direct control over what other individuals who attend our events may do with any videos or photographs they obtain, but we ask that all individuals be respectful of the personal information, personal property, and individual representation that may be contained within any videos or photographs collected at our events.

If you find a photograph of yourself, your family members, or your vehicles on our website or promotional materials that you take STRONG personal issue with, please contact us so we can try to rectify the situation. We hope that people would consider it an honor to be included as a representative of our club or our events, but we also respect that not everyone may feel this way. If something on our site upsets you, please let us know so we can make it right. 

Shipping Policy

i.e. How to Get Your T-Shirt

We do not currently offer shipping as a standard element of our online shop. If you want us to ship you something, like a T-shirt, we will make arrangements with you on a case-by-case basis. Shipping costs will be the actual amount we will have to pay to send the item PLUS a $3 handling fee to reimburse the member who ships your item for their gas and time.

We custom design our EuroBrit Expo Commemorative T-Shirt each year and order them just in time to have them for our show date. If you pre-order your shirt or register for the Expo early enough, we'll be able to make sure you get your shirt size on the day of the show. Please bring a copy of your payment receipt (digital is acceptable) to help us find your order.

If you place your order online after we place our club order for T-Shirts, we may not have your size in hand on the day of the show, depending on how many extras we ordered of each size. If we don't have your pre-ordered size for some reason on the day of the show, we will make custom arrangements to get your Shirt to you at a later date. Ideally, one of our members will be able to meet you somewhere in town or at a future club event to get you your shirt. If you wish for us to ship it to you, the shipping cost will need to be paid separately.

Please remember that all our members, including those who manage our T-Shirt inventory, are volunteers and it may take us some time to get you your shirt or anything else you order. But we promise we will always do our best to get you your item. 

Respect and Representation Policy

We expect all of our members to act like decent, respectful individuals, even when we may have differences in personal opinions.  Everyone has a past, a lifetime of experiences that they carry with them, and the ones that we share are the ones we would like to focus on in our club. Our group was formed to bring together individuals who are passionate about their European and British vehicles, and this is something we hope to share with everyone, regardless of how different we might be otherwise. 

 

Club Member Only Events, such as tech sessions, are often held at member's homes and garages. When this is the case, please remember to respect that a member has allowed you into their home and personal space and is trusting you with knowledge of their personal business and private property. Safe, respectful, responsible conduct is therefore expected from all members at such events. 

 

If you choose to attend public events hosted by our club or another organization and declare yourself to be an affiliate of our club, please remember that you are acting as a representative of our club as a whole when you do so. The interaction you have with another individual may be the main thing that encourages them to become a future member or may turn them away from our club completely. Please represent us well! 

Member Participation Policy

We ask that all of our members attempt to participate in club business and club events whenever and however possible. Realistically, however, we recognize that our membership includes individuals from across the North Alabama and Southern Tennessee region and that travel time can often be a barrier to participation. We also recognize that not everyone may be available to attend our regular monthly meetings because of prior commitments and other conflicts.

To address travel and time-related issues, our club attempts to communicate predominantly through direct email, our Facebook page, and our website. If you are a member, please try to read and participate in email exchanges and social media and check our website regularly for updates. Please also participate in any called votes on club business by proxy even if you can't attend an upcoming meeting. We are constantly working to improve our club communication and inclusion, so please bear with us as we grow and change.

Please also make an effort to attend club-hosted events. This helps possible new members learn more about us all, both individually and as a group. Members from our club also attend events hosted by other regional car clubs and we often try to do so as a NAEBMS group to better represent our own club. We really would like to see more of you!

Member Participation

Rain or Shine Event Policy

We maintain a Rain or Shine policy regarding all of our public hosted events. This means that we will plan to host an event on the scheduled date, even if we have light rain or rain on the previous day. In the case of the EuroBrit Expo or other events held on a grassy field, we do have alternative layout plans that use a parking lot location to avoid possible issues with mud.

If there is severe weather or heavy rain, we may be forced to cancel an event. Cancelled events will not be rescheduled due to the complexities of venue arrangements, scheduling and communication. We will do our best to communicate a confirmed cancellation through all of our available media (webpage, social media, email), as soon as we know that a cancellation is necessary.

Any pre-paid amounts for a given event will not be refunded and will instead be considered donations to our club. Our overhead expenses still exist and still need to be covered even when we have to cancel an event. We will, however, make certain to post instructions on how you can obtain any pre-ordered merchandise (such as T-shirts) in case items cannot be picked up as planned at a cancelled event.

Data Privacy and Security Policy

We collect many types of personal and financial information from our members and event participants. We will always do our best and take all steps reasonably possible to protect personal and financial information whether we collect it online or in person. This includes maintaining the security of our website and other online content and any online form submissions we receive, to the best of our ability. This also includes protecting individual credit card and mailing address information in secure storage areas. Other steps may also be taken to secure and protect our club and user data.

Club member emails and phone numbers may be shared privately within the club membership to facilitate member connections and communications. This information will never be posted publicly to help protect from spam callers, spam emailers, and internet crawler bots. 

​

For all who visit our site, please do not attempt to exploit or publicly distribute any member data you may collect, however it is obtained. As a user, please consider carefully before posting your personal information in a publicly accessible location (such as on a public Facebook page post) to protect your own identity and accounts.
